Support — Abachista

Abachista is Aumatex’s app for running Italian micro businesses with ordinary bookkeeping, on iPhone, iPad and Mac: invoices, cash book, VAT, F24 and deadlines. Here are the answers to the most common questions, with the menus named as you see them in the app.

Abachista

Getting started

  • The welcome pages Abachista shows the first time can be skipped. To see it at work before entering your own data, tap Try a sample company: Abachista creates Esempio srls, an invented company with a year of invoices, payments and VAT. It can be edited even without a subscription and is deleted like any company from Settings › Companies.
  • On first launch tap Create your company and type the VAT number: the name and registered office come from the EU VIES registry, to check before you go on. Your company’s details go on every invoice and decide which deadlines apply to you.
  • Settings opens from the gear button in Overview; on the Mac from Abachista › Settings… In Settings › Companies you open, add, export or remove a company: you can keep more than one.
  • On iPhone the tabs are Overview, Documents, Movements and Contacts, plus the Register button; VAT, Deadlines, F24 and the rest of Taxes open from Overview. On iPad and Mac they are in the sidebar.

Recording invoices, expenses and movements

  • The Register button gathers everything you record: movements, documents (quote, order, delivery note, invoice, credit note or expense report), received invoices from XML, a scan, a PDF or a photo, expenses with no invoice, transfers between your accounts, partner operations, payslips, assets, tax notices, free F24 forms, contacts and items.
  • A payment in or out is linked to the invoices it settles: Abachista suggests the documents still open for the same contact. Until you link it, the movement stays To link.
  • On iPhone and iPad, Scan an invoice uses the camera to capture a paper invoice: the page is straightened and becomes a PDF attached to the invoice you record. Abachista reads its supplier, number, date and amounts, on the device, and suggests them for you to check; the same works with a photo or a PDF.
  • Bank accounts, cards and cash, with their opening balances, are in Settings › Accounts; income and cost headings in Settings › Categories.

Electronic invoices (FatturaPA)

  • Register › Import XML takes your suppliers’ electronic invoices, signed .p7m files included, one or many at a time. Abachista keeps the original file with the invoice and asks you to check the contact it recognised.
  • For the invoices you issue, Abachista writes the XML file (Create the XML file, then Save the XML): you hand it to your provider, who sends it to the SDI. Abachista sends nothing to the SDI or the Agenzia delle Entrate. SDI receipts (RC, NS, MC, NE, DT, AT, MT) are imported as files and update the invoice’s status.
  • From a document, Send by email prepares the message with the courtesy PDF attached, from your Mail app.

VAT, deadlines and reminders

  • Abachista estimates the VAT settlement, monthly or quarterly, with the detail of every document, and gathers tax and invoice deadlines in one list. These estimates help you stay organised: they are not professional advice and do not replace your accountant.
  • In Settings › Deadline reminders choose the notifications (how many days before, and at what time) and each company’s system calendar, which Abachista keeps up to date by itself. Deadlines also show in the Next deadlines widget, on iPhone, iPad and Mac, and on the Lock Screen of iPhone and iPad.
  • If reminders do not arrive, check that notifications and Calendar access are allowed for Abachista in the device’s Settings.

iCloud and several devices

  • Abachista syncs your companies across iPhone, iPad and Mac through your private iCloud. Turn on Settings › iCloud › Sync with this iCloud account on each device, with the same Apple Account; Sync now forces an update.
  • If the status says Not signed in, the device is not signed in to iCloud: the companies stay there until it is.
  • Theme, deadline reminders and automatic backups follow your account to every device; the lock and the language stay with each device.

Sharing a company with your accountant or partners

  • In Settings › My company › Sharing tap Share Company and invite whoever you like from the iCloud sharing sheet, choosing for each person whether they can only view or also make changes. The people you invite need Abachista and an iCloud account: they open the invitation and find the company on their devices.
  • The people you invite use the company for free: with edit access they record just like you while your subscription is active; if it lapses, the company stays read only for them. Every entry shows who recorded it.
  • On the same page you see who takes part, change what they can do, remove someone or tap Stop Sharing: the company leaves the devices of the people invited and stays whole with you. Only the owner invites, removes people and deletes the company; a person invited can leave it with Leave Company. The data travels only through iCloud: Aumatex does not receive it.

Export, import and backups

  • Settings › Data & Backups › Export this company or Export all companies creates a .abachista file with all the data, to save wherever you like. Export always works, even without a subscription.
  • Import from a Abachista file… adds the file’s companies next to the others; a company that is already there only receives what it lacks.
  • Once a day Abachista saves a backup of every company you changed in the Abachista folder of iCloud Drive (without iCloud Drive it stays on the device). Back Up Now makes one at once; from the list of backups you can put one back. Abachista keeps the backups of the last ten days, then one a week for four weeks and one a month up to six months.

Abachista Pro and the free month

  • Abachista Pro, the subscription, is monthly or annual (€9.99 a month or €99.99 a year; Abachista is sold on the Italian App Store), with every feature on every company and device, and the first month is free: it is the App Store’s introductory offer, which starts when you subscribe and is available once per Apple Account. Apple manages it: the app counts no trial days. It renews automatically until you cancel it in your App Store account.
  • Without a subscription your companies stay readable, exportable and printable; recording anything new needs a subscription. The sample company never asks for one, and the companies others share with you run on the subscription of whoever shared them.
  • Subscription, Manage Subscription and Restore Purchases are at the top of Settings (on the Mac in the Subscription tab). Payments, renewals and refunds are handled by Apple.

Face ID or Touch ID lock

  • In Settings › Lock turn on Lock with Face ID (or Touch ID, or the device passcode) and choose how long after leaving Abachista it asks again: Immediately, After 1 minute, 5 or 15 minutes.
  • While the app is locked, and in the app switcher, your books stay covered. The lock applies only to the device where you turn it on.

What Abachista does not do

  • Abachista sends nothing to the SDI or the Agenzia delle Entrate: it writes the invoice XML files and prepares the F24 forms, which you hand to your provider. It does not file LIPE, tax returns or financial statements.
  • It does not run payroll: payslips and fees are recorded from your payroll consultant’s sheet. It does not handle the flat-rate (forfettario) regime.
  • The VAT and tax estimates help you stay organised and forget nothing, but they do not replace your accountant’s advice.
